Requirements
Purpose of the role:
To support daily operational activities through effective coordination and management of administrative functions. This role ensures accurate processing of system transactions, stock reconciliations and maintenance of data integrity within the ERP system. The coordinator acts as a liaison between operational teams and support functions to facilitate efficient workflows and timely issue resolution.
Key Responsibilities:
Purchase orders
- Create and manage purchase orders in line with stock requirements (Ad hoc, packaging materials and Maintenance)
- Track and follow up on open POs to ensure timely supplier delivery
- Ensure alignment of POs with Cost codes and supplier agreements
- Maintain PO status trackers and communicate updates to relevant departments (Maintenance POs included)
Production
- Monitor the accuracy of BOMs used in production
- Verification & closing of daily WOs. (Communicate deviations.)
Stock & Journals
- Prepare and process stock adjustment journals for crate collections
- Compile packaging movement data and reconcile against system records (Stock Journals)
- Perform monthly reconciliations on the CHEP portal, comparing physical pallet movements with account statements
General Admin
- Support the admin and operations teams with ad-hoc administrative tasks
- Maintain electronic and manual records where needed
- Assist with internal coordination across departments for smooth workflows
- Assisting with monthly supplier provisions.
Education:
- Matric
- Minimum of a National Diploma in Administration or equivalent qualification
Experience:
- Minimum 2-3 years relevant administrative experience in a fast-paced environment, and ERP system knowledge
