Job Description
Receptionist
- Answering phones / greeting customers, serving refreshments and making them feel welcome.
- Transferring calls as necessary
- Ensuring messages are passed to the appropriate staff member in a timely manner.
- Allowing access and exit of visitors and delivery suppliers
Facilities Management
- Maintenance of the office: gate, generator, service of air con, fire extinguishers, etc
- Providing quotes to managing director as the need arises
- Monitoring of stationery, fuel and consumables levels for reorder
- Checking and monitoring of office groceries, water coolers
- Manage office keys / downstairs safe
Invoicing
- Timely processing of customer invoices/ commercial invoices on Pastel
- Updating of Pastel baches daily once invoices have been completed
- Reviewing Customer Statements - checking invoices are processed accurately
- Working closely with the customer service team to ensure accurate invoicing in a timely manner.
- Follow up on customer-blocked customer accounts with TCS in a timely manner
- Processing of credit notes and correction of invoices
- Loading invoices on customer Portals: Ariba / Coupa and J&J, Others in a timely manner.
- Provide customer statements/invoices to the finance and customer service team in a timely manner
- Issuing of credit notes with supporting documentation for ISO Review on a monthly basis.
Stores Administration
- Forward invoices to the dispatch department for orders to be delivered in a timely manner
- Reviewing of POD schedule and ensure PODs are downloaded
- Requesting quotes for courier costs from multiple service providers
- Stock receipting of inventory on Pastel in a timely manner
- Prompt communication to line managers of deviations to processes and controls
Ad-hoc Tasks
- Support your team, other teams and line manager with urgent requests
- Handle ad-hoc tasks as needed, requiring strong time management and flexibility
Qualifications
- Minimum requirement Matric Certificate (or equivalent)
- Computer literacy
- Working knowledge of Pastel Partner software
- Numerical skills
- Accounts receivable (Billing) knowledge/experience
- Microsoft Excel – Intermediate
- Fluent verbal English and communication skills
- Similar experience for 2 years
