Position Overview:
The Procurement/Stores Manager will be responsible for overseeing the procurement, inventory management, and stores operations. This role will involve managing the entire supply chain, including sourcing materials, creating purchase orders, and maintaining optimal stock levels. The ideal candidate will have strong experience in costing jobs, working with Pastel accounting software, and compiling wage sheets for staff. The role requires a proactive, detail-oriented individual who can contribute to the efficient and cost-effective management of the company’s stores and procurement functions.
Key Responsibilities:
Procurement Management:
- Source, negotiate, and purchase materials, equipment, and services from reliable suppliers.
- Ensure timely and cost-effective procurement of all goods and services.
- Develop and maintain relationships with suppliers, negotiating favorable terms and conditions.
- Create, issue, and manage purchase orders, ensuring compliance with company policies.
Inventory and Stores Management
- Maintain optimal stock levels to prevent overstocking or stockouts.
- Monitor inventory levels and perform regular stock takes to ensure accuracy.
- Implement and maintain an organized and efficient stores environment.
- Manage the receipt, storage, and distribution of goods in the store.
Costing and Financial Management:
- Accurately cost jobs and projects, ensuring all materials, labour, and overheads are accounted for.
- Work closely with project managers to provide accurate cost estimates for budgeting and planning.
- Manage the allocation of materials to jobs and update job costing records in Pastel.
- Compile and manage wage sheets, ensuring accurate and timely payment of staff wages.
Pastel Accounting Software:
- Utilize Pastel software for managing purchase orders, inventory, job costing, and financial reporting.
- Maintain accurate financial records, ensuring data integrity and compliance with company policies.
Supplier Management:
- Evaluate and select suppliers based on quality, price, and delivery capabilities.
- Conduct supplier performance reviews and implement improvements where necessary.
- Resolve any issues related to supplier performance, delivery, or product quality.
Compliance and Reporting:
- Ensure compliance with company policies, procedures, and legal requirements related to procurement and stores management.
- Prepare and present reports on procurement activities, inventory levels, and cost savings initiatives.
Team Management:
- Supervise and train store staff, ensuring adherence to processes and maintaining high standards of performance. •
Oversee the daily operations of the stores team, ensuring efficiency and accuracy.
Key Requirements:
- Diploma or degree in Supply Chain Management, Procurement, Logistics, or a related field.
- • Proven experience in procurement and stores management, preferably in a manufacturing or industrial environment.
- Proficiency in Pastel accounting software is essential.
- Strong experience in job costing and financial management.
- Excellent negotiation, communication, and organizational skills.
- Ability to manage multiple tasks and work effectively in a fast-paced environment.
