Job Description
A key focus area of the role is to ensure that Legal appointments are drafted, reviewed and submitted. Another key focus area is to assist the operation with Legal implementation, managing the document control of critical business documents, data entry into SAP and placing orders with the Procurement Department for Venetia Mine
The successful candidate will be required to:
- Update and review of WRACs/JRA and PTO’s
- Uploading of information to correct templates (JRA, PTO and procedures)
- Assisting stakeholders with review of WRACs
- Monthly reporting on risk registers and risk statuses
- Prepare, review and issue appointment letters for employees in preparation for signature
- Ensure all legal appointment letters align with legal and regulatory requirements
- Obtain necessary approvals before issuing documents
- Track and follow-up on acceptance and signing of appointments
- Maintain a secure and organized database of all issued appointment letters.
- Ensure proper filing both digital and physical copies for easy retrieval as well as for all legal correspondence/communication to different stakeholders.
- Update records regularly to reflect new appointments, terminations and changes.
- Assist in audits and compliance checks by providing necessary documentation
- Respond to enquiries regarding appointment letters and related processes.
- Develop and manage an up to date register of all legal appointments submitted to the DMRE, including proof of the transaction.
- The recording, capturing and distribution of Meeting Minutes (Quarterly MHSC and S&SD Departmental Meetings; Monthly Supervisor Meeting and SHE Rep Meeting)
- Maintains office stationery and consumable stock level
- Places reservations and purchase requisitions to the Procurement department through SAP, including PPE
- Provide support services for business processes and management systems. Jointly responsible for effective delivery of management systems and framework development, the effective delivery of management systems admin and support functions.
- Utilise electronic management systems, such as Isometrix, ALIM to collate relevant S&SD Performance statistics and data
- Conduct quality assurance on data received
- Anticipate and Manage Risks related to S&SD performance reporting.
- Coordinate Visitor Bookings (Catering, Accommodation, Security & Medical Clearances, Inductions, PPE)
Qualifications
- Grade 12/Std 10/N3 or relevant NQF level 4 qualification.
- National Diploma in Safety management (NADSAM) or similar
- Computer literacy – MS Office Suite (Word/Excel/Power Point/ Outlook)
- Valid EB / Code 8 Driver’s License
- 2-3 years relevant experience in mining industry or similar.
