KEY PERFORMANCE AREAS
1. Provide Support to Stakeholders
1.1. Attend to all queries;
1.2 Give stakeholders support by conducting Monitoring and Site Visits (with support from Executive Officer);
1.3 Communicate with all relevant stakeholders on TETA processes and criteria;
1.4 Internal and external Stakeholder Management;
1.5 Increase Stakeholder participation.
2. Provincial/National Support to Stakeholders in the Sub Sector
2.1. Coordinate and facilitate career exhibitions in the province;
2.2. Conduct visits on the implementation of projects and MOUs.
3. Coordination of Payment in the Chamber
3.1. Draft motivations and specifications to procure goods and services;
3.2. Coordinate payment of travel claim/sitting allowance for chamber committee members;
3.3. Liaise with Finance regarding DG payments.
4. Coordinate Administration of Projects in the Chamber
4.1. Registration of DG applications and capturing on the DG application schedule;
4.2. Recording and filing of received applications;
4.3. Assist the ETDP with assessment of DG application;
4.4. Assist the ETDP with compiling award letters and contracting.
5. Administration of SDF/Industries Forum
5.1. Update and maintain SDF database;
5.2. Communicate with industry regarding new developments;
5.3. Administration of SDF workshops and industry forums;
5.4. Preparation of workshop material and presentations;
5.5. Conduct presentations at industry workshop and forums.
6. Implementation of MG
6.1. Verification of supporting documents and assist the ETDP with MG assessment;
6.2. Conduct site visits to monitor the implementation of WSP;
6.3. Advice stakeholders and EO of gaps identified;
6.4. Give recommendations where necessary to the stakeholders;
6.5. Compile Site visit reports.
7. Implementation of DG
7.1. Verify DG claim recorded in claims register;
7.2. Assessments of DG claims within timeframes;
7.3. Communicate gaps identified to stakeholders;
7.4. Upload accurate project deliverables on to the TETA Document Management system;
7.5. Assist ETDP in processing contract addendum, cancellation and surplus declaration;
7.6. Verify learner agreements on the TETA system and ensure compliance.
8. Chamber Committee
8.1. Effective co-ordination of meetings;
8.2. Agenda confirmed with EO;
8.3. Invitations circulated;
8.4. Attendance and travel;
8.5. Meeting packs compiled and circulated;
8.6. Recording and circulating minutes of the meeting.
9. Chamber Administration
9.1. Office Management.
10. Reporting
10.1. Data consolidation and validation for accurate reporting;
10.2. Reporting on prescribed templates and by due dates.
11. Training and Development
11.1. Agree and identify goals with Intern;
11.2. Coach and Mentor interns in the Unit;
11.3. Implementation of personal development plans.


MINIMUM REQUIREMENTS
1. Experience and Qualification
  • M + 3 qualification in ETD or relevant qualification;
  • 5 years’ experience in administrative works;
  • 3 years’ experience in the ETD environment;
  • Overtime and travel.
2. Knowledge and Skills
2.1 Knowledge and understanding of:
  • Knowledge and understanding of the SDA, SAQA Act, NQF, SAQA and etc;
  • Knowledge of the functioning of SETAs;
  • Contract management knowledge;
  • Project management knowledge.
2.2 Skills
  • Excellent communication and facilitation skills;
  • Analytical abilities and Accuracy;
  • Presentation and facilitation skills;
  • Project Management skills.
