The purpose of this role is to support the bid team in attaining operational objectives. The individual must be capable of understanding operational requirements, planning and writing proposals, attending and minuting meetings, must be able to provide support to the bid and sales teams on all client proposals, tenders and presentations. The ability to assist the Bid Specialist in relation to work on contracts, including the evaluation of contracts included in tenders and proposals, will be highly beneficial.
Administration
- Provide administrative support which will include handling confidential information, documentation and agreements.
- Maintaining a database of information relevant to tenders and proposals and ensuring that these are up-to-date.
- All administration of tender proposals must be maintained effectively.
- Ensure that all follow ups in respect of tenders are done regularly and timeously.
- Assist the Sales Team with documentation support.
Meeting Management
- Correlate diaries in order to schedule meetings in a workable and practical order.
- Able to take detailed minutes at all meetings and distribute these to relevant people timeously.
Information Request
- Request information needed from suppliers and from internal division for tenders.
- Follow up where necessary.
Tenders and Reports
- To help in the achievement of sales target through quality submissions with improve our conversion ratio from submission to success.
- Write and compile tender responses which are bespoke to the target.
- Ensure all written work is free from errors and professionally represented.
- Ensure that all required documentation in included in tender / proposal and other submissions.
- Ensure agreed upon deadlines are adhered to.
Clients Service
- Coordinate and respond to all client requests.
- Render best service level to clients (internal and external).
Relationship Building
- Build and maintain relationship with suppliers by networking and attending promotional events (ad hoc).
- Maintain and build relationship with internal divisions.
Ad-hoc duties
- Assist in supporting the bid and sales teams in brainstorming ideas and strategizing to attaining targets.
- Assist the Head of Bid Writing and Bid team in day-to-day operations as required.
- Assist in the implementation of strategies and projects.
- The ability to assist in contract drafting, review and discussions will be highly beneficial.
EDUCATIONAL REQUIREMENTS
- Matric Certificate.
- English proficiency (excellent written & verbal skills).
- Legal qualification.
- Advantageous: LLB or similar law degree.
- Advantageous: completed articles / newly admitted attorney.
EXPERIENCE IN YEARS
- 3 years’ experience in a similar role; OR
- 3 years in a law practice.
