Call Centre Assistant

Qualifications:

• Education: High school diploma or equivalent; some positions may require additional education or certification.
• Experience: Previous experience in a receptionist or administrative role is often preferred.
• Skills:
• Strong communication skills (verbal and written).
• Proficiency in computer software (e.g., Microsoft Office Suite, email programs).
• Familiarity with telephone systems and office equipment (e.g., printers, copiers).
• Excellent organizational skills and attention to detail.
• Ability to multitask and manage time effectively.
• Customer service orientation.

Duties and Responsibilities:

• Front Desk Management:
• Greet and assist visitors, clients, and employees in a professional manner.
• Answer incoming calls, direct them to the appropriate personnel, and take messages if necessary.
• Administrative Support:
• Schedule appointments and manage the calendar for executives or departments.
• Maintain office filing systems and keep records up to date.
• Prepare and send correspondence (emails, letters, packages).
• Data Entry and Management:
• Input and update information in databases and company records.
• Assist with data entry tasks as required by different departments.
• Customer Service:
• Address inquiries and resolve issues or direct them to the appropriate personnel.
• Provide information about the organization’s services, hours, and policies.
• Maintenance of Office Supplies:
• Monitor and order office supplies as needed.
• Ensure the reception area is neat and organized.
• Coordination of Meetings:
• Set up conference rooms and ensure necessary equipment is available for meetings.
• Arrange catering or refreshments for meetings when required.
• Compliance and Confidentiality:
• Adhere to company policies regarding confidentiality and data protection.
• Maintain professional conduct and a welcoming environment throughout the office.

Additional Responsibilities:

• Assist with onboarding new employees by providing orientation for office policies and procedures.
• Participate in team meetings or contribute to special projects as required.
