This role serves as the crucial link between the operations and commercial teams, ensuring seamless
coordination and delivery of sponsor and exhibitor obligations. The position plays a central part in
driving customer satisfaction and successful event execution by bridging internal departments with
client-facing activities.
Job Description
Responsibilities:
- Act as the main point of contact for sponsors (or via the commercial/sales person) into other functions within ECP, maintaining a positive and proactive relationship to ensure customer satisfaction and retention.
- Work closely with the commercial/sales team to understand the sponsors’ needs and expectations and provide support in maximizing their sponsorship packages.
- Serve as the operational-commercial liaison to ensure that all sponsorship deliverables are aligned with internal capabilities and timelines.
- Send marketing and sponsorship manuals; track and follow up on required documentation.
- Coordinate with the marketing team to promote client participation and increase sponsorship visibility.
- Proactively identify and resolve any issues or concerns raised by clients.
- Collect guest lists from clients and ensure accurate and timely registration.
- Obtain artwork from clients and coordinate across departments to seek necessary approvals.
- Participate in internal and client meetings; provide status updates and address any concerns.
- Assist with onsite event execution to ensure client satisfaction and successful sponsor activation.
- Onboard sponsors and exhibitors within 48 hours of contract signature (includes sending welcome letter and collecting logos).
- Fulfil sponsorship deliverables in line with agreed timelines.
- Execute sponsor and exhibitor communication plans within agreed timelines and deadlines.
- Maintaining strong, proactive relationships with sponsors and exhibitors.
- Understanding and meeting client needs and expectations.
- Supporting the commercial team to maximize the value of sponsorship packages.
- Ensuring timely, consistent, and professional communication with clients.
- Collaborating with marketing to promote client engagement and exposure.
- Anticipating and resolving issues before they impact satisfaction or delivery.
- Managing documentation flow and artwork approvals effectively.
- Facilitating internal approvals by coordinating across departments.
- Contributing to the successful delivery of events and high client satisfaction.
Qualifications
- A National Diploma or Bachelor’s Degree in one of the following fields: Business Administration or Events Management
- 2-4 years experience in admin, sponsorship coordination, client servicing, project management, sales admin
- Experience managing client communications and deliverables
- Experience with CRM or project management tools (e.g. Trello, HubSpot, etc.) is a plus
- Onsite event experience is advantageous
