Discover the Role

The role of the Executive Administrator is to facilitate the smooth operation of Executive functions, Supporting the Executive Committee EAs with administrative tasks, focused on but not limited to expense management, invoice and supplier management, scheduling and travel planning.



Key Responsibilities
  • Expense Management: Collate expense receipts and prepare expense reports for TMF senior management as guided by the EA to the CEO, CFO and CTO.
  • Invoice and supplier management: Prepare purchase orders and raise invoices on the D365 system for contractors, events and other Group expenses as needed. Liaise with internal finance and manage supplier expectations regarding payment schedules.
  • Meeting Coordination: Support the EA to the CEO, CFO and CTO as well as senior colleagues within the Transformation and Finance teams with scheduling internal and external meetings, coordinating logistics, sending out invitations, preparing agendas, and taking minutes when required.
  • Travel planning: Support the EA to the CEO, CFO and CTO with planning business travel schedules, searching for the best flight options and creating draft itineraries. Additionally support senior colleagues within the Transformation and Finance Teams with their travel arrangements.
  • Event Coordination: Assist with the organization of events, such as conferences, and board and committee meetings. Coordinating logistics, managing invitations, and ensuring all arrangements are in place for successful events.


Key Requirements
  • Experience: 1-3 years in an administrative or executive assistant role, preferably within a fast-paced corporate environment.
