FLEET CONTROLLER/DISPATCHER
Role Summary
The Fleet Controller / Dispatcher at Crusade Logistics is responsible for ensuring that all fleet operations run safely, efficiently, and in accordance with both internal policies and customer requirements. This role plays a key part in the planning, coordination, and execution of fuel deliveries while maintaining strict compliance with HSSE protocols and legal transport regulations.
The successful candidate will manage driver scheduling, route planning, vehicle dispatching, telematics tracking, and real-time problem-solving to ensure seamless delivery execution. In addition to managing daily operational flow, the Fleet Controller must also maintain meticulous administrative records, ensure compliance with legal vehicle and driver documentation, and promote effective communication across all departments and customers.
The ideal candidate will demonstrate strong organisational skills, excellent attention to detail, and the ability to remain calm under pressure in a fast-paced, logistics-focused environment. Responsibilities
FLEET OPERATIONS
- Dispatch and monitor daily fuel deliveries in line with customer requirements.
- Track vehicle movements and respond to route deviations or delays in real-time.
- Assign vehicles and drivers according to route plans and delivery schedules.
- Ensure vehicle inspections are conducted daily and defects are reported and resolved.
- Analyse telematics reports (e.g., speed violations, idling, harsh braking) and escalate irregularities.
- Verify vehicle legal compliance, including COF, fire permits, safe loading passes, and calibration certificates.
DRIVER MANAGEMENT
- Perform pre- and post-trip briefings with drivers (BVOs), including safety and route briefings.
- Monitor working hours and manage driver scheduling and rotations.
- Ensure all drivers are compliant with legal requirements (licenses, PRDP, medicals, DG training).
- Handle consequence management and maintain updated driver files.
- Support ongoing training, inductions, and HSSE communications.
PLANNING & DISPATCH
- Build and assign loads using the planning board and operational systems.
- Ensure all changes to trip schedules are communicated with internal teams and customers.
- Monitor execution of all planned loads and resolve delivery constraints proactively.
- Perform live tracking and update operations dashboard throughout the shift.
- Submit delivery confirmation, product return, and failure reports accurately.
HSSE COMPLIANCE
- Adhere to and enforce group HSSE standards and reporting requirements.
- Conduct vehicle yard walkabouts and report safety concerns.
- Perform and document daily alcohol testing and pre-trip safety briefings.
- Capture and investigate near-misses and incidents within required timeframes.
- Keep all PPE registers, incident logs, and safety communications up to date.
ADMINISTRATION & REPORTING
- Maintain daily attendance registers, trip sheets, and debrief documentation.
- Capture and verify driver fuel usage, trip distance, and delivery outcomes.
- Submit reports related to driver incentives, fuel variances, and depot housekeeping.
- Prepare for operational meetings and provide supporting data as required.
Qualifications, Education and Experience
- Grade 12 (Matric) required.
- Tertiary qualification in Transport, Logistics, or Supply Chain (completed or in progress) is advantageous.
- Minimum of 3 years’ experience in fleet control, dispatch, or transport operations (preferably fuel logistics).

Skills and Competencies
- Strong knowledge of legal vehicle and driver compliance.
- Excellent communication and real-time problem-solving skills.
- Strong computer literacy (Excel, tracking systems, planning boards).
- Able to work under pressure and manage multiple priorities simultaneously.
- Strong attention to detail and accurate reporting skills.
- Must be self-motivated, assertive, and able to lead within a shift-based environment.
- Own reliable transport required
