Introduction
Icily Live, a dynamic and growing company based in Kraaifontein, Cape Town, is looking for an experienced Administrator & Bookkeeper to join our team. This dual-role opportunity is ideal for a motivated individual who thrives in a fast-paced environment and enjoys balancing front office with administrative, bookkeeping, and secretarial responsibilities.
Key Responsibilities
1. Bookkeeping Duties
- Download and administer bank statements
- Assist the Accountant with audit preparation and tax processes
- Perform monthly reconciliations for Debtors and Creditors
- Reconcile bank accounts daily
- Manage and reconcile petty cash
- Process monthly journals and prepare financial reports
- Handle payment processing, including salaries
- Manage card transactions and administration
- Support general administrative functions, including HR-related tasks
- Perform ad hoc finance-related tasks as required
2. Office Administration & Secretarial Support
- Liaise with service providers, verify invoices, request payment authorisations, and manage payment documentation
- Update master records for customers and vendors
- Prepare and file reports, spreadsheets, correspondence, and emails
- Compile and distribute meeting minutes
- Provide secretarial and administrative support to the two company directors
- Manage office supplies, cleaning materials, utilities (electricity and water)
- Maintain and update employee HR contracts and company leave register
- Coordinate international and local shipping of stock from suppliers
- Perform landed cost calculations for imported goods
- Maintain and update the Fixed Asset Register
- Monitor internal controls to safeguard company assets
Desired Experience & Qualifications
- Bookkeeping diploma or relevant accounting qualification (essential)
- Secretarial or administrative qualification (advantageous)
- Minimum 5 years’ experience in bookkeeping and office administration
- Proficient in MS Office and Xero Accounting (essential)
- Experience with Odoo (advantageous)
- Experience with Imports and shipping
- Solid understanding of basic accounting principles
- Strong typing and written communication skills
