Job Title: Collections Associate
Reports To: Accounts Receivable Manager

Job Summary
The Collections Associate is responsible for supporting the Accounts Receivable department by managing payment collection, account reconciliation, and customer support activities. This role focuses on proactively collecting outstanding receivables while ensuring accurate handling, validation, and maintenance of sales tax exemption documentation in compliance with state and local regulations.
Key Duties and Responsibilities
Collections
- Monitor customer accounts for late or irregular payments.
- Communicate with customers by phone, email, and written correspondence to collect outstanding balances.
- Follow up on past-due invoices in accordance with company policy.
- Investigate and resolve payment discrepancies and disputes in a timely, professional manner.
- Collaborate with internal departments and branches to address customer concerns.
- Accurately document all collection activity within customer accounts.
Sales Tax Exemption Form Management
- Collect, review, and validate customer sales tax exemption certificates.
- Maintain organized, up-to-date exemption documentation per state and local tax laws.
- Track certificate expiration dates and request updated forms as needed.
- Audit exemption certificates for accuracy, completeness, and correct categorization.
- Process sales tax adjustments after proper validation of exemption documentation.
General Accounts Receivable Support
- Reconcile customer accounts and perform account research as needed.
- Assist with month-end and year-end closing activities.
- Provide documentation for internal account reviews.
- Post and apply customer payments to invoices (as backup when required).
- Perform additional AR administrative tasks as assigned.
Qualifications
- High school diploma or equivalent required; Associate’s degree in a related field preferred.
- 2+ years of experience in accounts receivable, with emphasis on collections and/or tax documentation preferred.
- Knowledge of sales tax exemption requirements and compliance standards.
- Strong attention to detail and accuracy.
- Ability to multitask effectively and manage competing priorities.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office Suite.

- Standard office environment; ability to sit for extended periods.
