DEPARTMENT: IMPALA MEDICAL SERVICES
PURPOSE OF THE JOB: To provide general assistance and administrative work. To ensure that health information is processed and reported to the relevant management structures, information flow from Top Management is distributed across Medical Services and Client Services.
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
- Grade 12 Certificate (NQF Level 4) is essential
- Personal Assistant/Office Management/Secretarial qualification is essential
- MS Office (Outlook, Word, Excel, PowerPoint) is essential
- SAP experience is essential
- Minimum 3 years administrative experience, which 1-year should be in a medical environment

KEY PERFORMANCE AREAS:
- Supports the Health Executive and HODs team in daily activities, and coordinates and manages meeting schedules, emails and other general office duties.
- Safeguards documentation/correspondence medical records to the Executive and Clinical Manager.
- Manages the Health Executives diary and calendar.
- Correctly captures minutes of the Health Executive and HODs Business reviews meetings.
- Coordinates information from different HODs to generate presentations for the HOD meeting.
- Facilitates and participates in the planning, design and execution of communication plans and campaigns at Impala Medical Services.
- Take ownership and manages the communication channels in respective areas of responsibility (briefs/video/team spirit/production boards/shaft newsletters, photos).
- Ensures regular reporting to Health Executive and Clinical Manager on internal communication and its effectiveness.
- Assists the Health Executive and Clinical Manager with compiling high-level presentations and documents.
- Distributes information from Top Management to Medical Services HODS and employees.
- Facilitates Medical information from different Senior Team members to generate health reports, memorandums, briefs, COPs and medical treatment protocols.
- Updates notice boards with latest health and environmental briefs.
- Assists in compiling DMRE and Chamber of Mines annual medical reports, types annual medical reports for each Manager at the shaft and ensures good record keeping of these important documents.
