We are now looking for a Global Mobility Specialist to be based in Head Office Bryanston.
The role of Global Mobility Specialist is to ensure best in class service by managing end-to-end global mobility while respecting company policies. The Global Mobility Specialist brings value through expertise across a large spectrum of mobility related topics : Taxes, Social security, Package, Immigration, Application of global mobility policies. Prepares packages & conditions for the future expatriates, explain global mobility policies, and coordinates transfers. Acts as a partner to the business and build effective relationship with the clients (markets, businesses).
A day in the life of a Global Mobility Specialist:
Key Outputs / Deliverables:
Administration and Collaboration (50%):
- Preparation, communication and implementation of expat packages according to policies and process.
- Briefing employees in terms of package, policy, process, assignment benefits, relocation support.
- Responsible for following Assignment Pro (Central Inhouse Platform) and HR processes and checklists for efficiency, quality and compliance purposes.
- Arrange for Framework Orders for payments to Relocation, Immigration, MSH and Tax Consultants.
- Work closely with Deloitte to manager the Global Compensation Management (GCM)
- Responsible for ensuring complete documentation for each case such as letters of assignment, extension letters, resignation/retirement letters.
- Responsible for the Country Re-assignment process for Expatriates. Ensure that User Accounts are created in time and e-mail address is active. Ensure that data in the system is correct. Ensure that Single User ID settings are correct in SAP prior to the start date of the assignment.
- Liaise with the Vendors for the Relocation of household Goods, obtain quotations and arrange for Purchase Orders. Coordinate relevant documents to the Expatriates.
- Liaise with Procurement when a new Tender process is required for Relocation, Immigration or Tax as well as for Relocation of household goods.
- Do ICO forms to charge out Relocation Costs for Expatriates.
- Enroll expatriates on NEMP Medical Plan. Perform termination of membership in the system when the assignment ends.
- Ensure that data of active Inpatriates are correct in MSH’ system.
- Prepare webforms with instructions to IBS for payment of allowances, rental payments, school fees etc.
- Providing guidance and consultancy to HR colleagues and the business on all global mobility matters.
- Main point of contact for the employee during the end-to-end process for Nestlé ESAR, ensuring high-quality employee experience.
- Main point of contact for the HRBP during the end-to-end process, ensuring value-add through positive relationships.
Global Mobility Network Engagements (10%):
- Manage or contribute to continuous improvement projects.
- Attend Global Mobility calls scheduled by Corporate Global Mobility.
- Adherence to Global Mobility Key Performance Indicators.
Planning (10%):
- Prepare the Annual Dynamic Forecast (DF) for Inpatriates and Expatriates.
- Update Inpatriate Accommodation Rental budget amounts.
Compliance (20%):
- Co-ordinating and collaborating with internal and external parties to ensure timely and compliant delivery of services and support whilst establishing positive and productive partnerships. Acts as a point of escalation for both employees and other parties in this regard.
- Responsible for ensuring data quality in all systems such as SAP, SuccessFactors, Assignment Pro and case management tool.
- Responsible for compliant and accurate payroll data for salary, benefits and allowances.
Knowledge Sharing (10%):
- Share technical knowledge. Subject Matter Expert (SME) of the defined area of expertise or analyst of the assigned working tools. Sharing knowledge with the team by coaching the team members on complex cases, sharing expertise, organizing trainings and providing regular updates on the subject.
What will make you a success:
- Bachelors degree or Diploma in Human Resource
- Experience in coordinating global assignments (3+ years) in a large multinational organization
- Proven experience in supporting clients in a client-facing role and / or client relationship management role in a large multinational organization.
- Experience in interfacing in a professional manner with top-level executives and ability to present information effectively.
- At ease to make decisions and to solve problems independently, under time pressure, and communicate a well-defined point of view in a confident way.
- In-depth expertise in expatriate compensation, social security, taxation, payroll and immigration matters.
- Experience in managing a high number of complex global assignments simultaneously.
- High level of tact and ability to handle sensitive compensation and business information.
- Ability to work independently, reliably and allocate time efficiently.
- Excellence in service delivery in an intercultural environment.
- Advanced user of MS Office applications and familiar with SAP HR and SuccessFactors.
