The ideal candidate will be responsible for supporting the leasing, operations process from start to finish, ensuring a smooth process and maintaining accurate records for all leasing and project activities. Key Areas of responsibilities will include:
- Draw up an internal plan re project
- Ensure that all company specifications are complied with
- Have regular meetings with relevant parties
- Ensure deadlines are met
- Build good relationships with all suppliers and stakeholders
- Communicate daily via email/telephone with relevant stakeholders
- Ensure projects cost spend are in line with budget
- Prepare projects reports
- Keep management and all relevant parties updated on all active projects and maintenance/facilities
- Overseeing the Service Desk, ensuring all calls logged are being attended to and emergency calls actioned after hours
- Ensure to obtain certificates when requested, i.e. COC, etc
- Obtain costs tracking sheets from suppliers during projects and present to Management on a regular basis
- Cost forecasting for a project and present to management
- Joint Custodian of Landlord Relationships
- Manage and maintain updated master sheet of active Leases and details thereof.
- Continuous follow up with Landlords regarding ongoing communications eg formal letters to and from; renewal offers, store closures
- Identify leases that require negotiating at a minimum of 6 months in advance
- Timeous approval of signage criteria; approval of documentation specific to new store and refurbishment plans; legislative certification eg compliance certificates.
- Undertaking project tasks as required and providing administrative support
- Developing project strategies
- Assess project risks and issues and provide solutions where applicable
- Ensure stakeholder views are managed towards the best solution
- Create a project management calendar for fulfilling each goal and objective
Requirements:
- 1-3 years proven work experience in a similar role
- Diploma/Degree in Project management/ Business Administration or relevant qualification
- Solid organizational skills, including multitasking and time-management
- Proficiency in Microsoft Office
- Ability to work independently
- Flexible schedule: ability to work remotely afterhours including occasional weekends as and when required operationally
- Valid License and own transport (advantageous)
