We’re looking for a detail-oriented, organised and proactive Order & Systems Coordinator to support our order management process and help ensure our internal systems (primarily Monday.com) reflect accurate, real-time information.
This role is central to how we manage the flow of information between our sales team, production, and customer delivery — so an understanding of how garments are made, and what it takes to deliver quality clothing on time, is essential.
Key Responsibilities:
- Order Entry & Tracking:
Capture and manage customer orders from the sales team on Monday.com
Ensure all relevant production details (sizes, styles, quantities, due dates) are reflected accurately
- Workflow Management:
Follow orders through the full production process — from job card / cut sheet stage to delivery
Flag delays, update timelines, and ensure smooth handovers between departments
- System Coordination:
Maintain Monday.com boards and basic workflows
Coordinate with outsourced developers to flag technical issues or suggest improvements (no coding required)
- Reporting:
Generate weekly summaries of outstanding orders, production status, and upcoming deadlines
- Communication:
Liaise with sales, production, and logistics teams
Help ensure our systems support both internal operations and external customer expectations
What We’re Looking For:
- Strong attention to detail and ability to follow through on tasks
- Previous admin, operations, or order processing experience
- Comfortable using tools like Monday.com (or willing to learn quickly)
- Interest in garment production and how cut sheets/job cards feed into final product delivery
- Good communication skills – this role requires regular interaction with internal teams and a clear understanding that we are a customer-facing business
- A proactive mindset and willingness to improve systems and flag inefficiencies
