Our client is seeking a well-organised and professional Receptionist who will also provide vital support to their Internal Sales team. The ideal candidate will act as the first point of contact for customers, ensuring a warm, professional, and efficient front-desk experience. In addition to reception duties, the role includes assisting with key administrative and sales-related functions such as quotations, order processing, and customer follow-ups. The successful candidate will be service-oriented, detail-driven, and capable of building strong client relationships through both phone and email communication.
Key Responsibilities:
Reception & Front Desk Duties
- Answer and direct incoming telephone calls in a professional and courteous manner.
- Greet and welcome clients and visitors, ensuring a professional front-of-house experience.
- Manage incoming and outgoing correspondence.
- Maintain a tidy and organised reception area and meeting rooms.
Administrative & Internal Sales Support
- Prepare and process customer invoices accurately and promptly.
- Capture and process sales orders.
- Follow up on outstanding quotations, pending orders, and back orders.
- Respond to customer queries regarding products, pricing, stock availability, and order status.
- Support sales team with email and telephonic follow-ups to clients and prospects.
- Coordinate deliveries and collections in collaboration with the logistics team.
- Assist with routine stock takes and inventory coordination.
- Perform other general administrative tasks as required.
Minimum Requirements:
- Matric (Grade 12) – essential
- Minimum 3 years of working experience in a receptionist or administrative sales support role
- Proficient in English (read, write, and speak)
- Computer Literacy: MS Word, Excel, PowerPoint, Outlook.
- Strong organisational and planning skills
- Excellent verbal and written communication skills
- Ability to multitask and manage time efficiently in a dynamic office environment
