Role:
To provide administrative, clerical, and PA support to the HR & Compliance Manager in the areas of Human Resources, payroll preparation, Health & Safety documentation, Employment Equity, Skills Development recordkeeping, compliance reporting & administration, and day-to-day scheduling.
Key Roles & Responsibilities:
HR Administration
- Assist with recruitment administration (posting ads, scheduling interviews, reference checks).
- Maintain personnel files and HR records (digital and hard copy).
- Prepare standard HR letters (confirmation of employment, leave forms, disciplinary notifications).
- Capture and update employee details in HR databases and spreadsheets.
Payroll & Wage Support
- Collect and verify weekly wage and monthly salary input (timesheets, overtime forms, leave forms).
- Enter payroll data into pre-prepared templates for review by the HR Manager.
- Assist with the distribution of payslips to employees.
- Maintain payroll records and filing.
Health & Safety Support
- Maintain safety registers (training attendance, PPE issuance logs).
- Assist with incident report logging and IOD documentation tracking.
- Help schedule health & safety meetings and training sessions.
Employment Equity & Skills Development
- Capture training records and employee qualifications in tracking sheets.
- Assist in maintaining Employment Equity (EE) and Skills Development records.
Compliance & Reporting
- Help maintain POPIA/PAIA compliance records and requests log.
- Support any internal and external compliance audits.
General HR Office Support
- Answer HR-related queries from staff in a professional manner.
- Assist with HR communications, notices, and policy updates.
- Maintain HR databases and tracking spreadsheets.
PA & Office Support
- Manage the HR Manager’s diary, schedule meetings, and coordinate appointments.
- Prepare agendas, take minutes, and distribute meeting notes as required.
- Photocopy, scan, and distribute HR and compliance-related documents.
- Keep HR and compliance notice boards updated.
Minimum Requirements
- Grade 12 (Matric) essential.
- Certificate in HR Administration, Payroll Administration, Office Administration, or Secretarial/PA Studies (advantageous).
- 1–2 years’ experience in office administration, HR admin, or PA work (internship experience considered).
- Working knowledge of South African labour legislation basics (BCEA, LRA).
- Proficient in MS Office (Word, Excel, Outlook).
- High attention to detail and confidentiality.
- Ability to retain large amounts of information (legislation).
- Confidence and flexibility to work across multiple statutory areas.
- Willingness to learn HR and compliance processes.
