Role Overview
We are seeking a highly organized and proactive Online Sales Assistant to join our fast-paced e-commerce operations team. Based at our Head Office in Cape Town, this role is central to ensuring all online orders are processed, allocated to stores, and communicated to customers accurately and efficiently.
You’ll be responsible for coordinating order flow between our Shopify storefront and six physical store locations, while maintaining high standards of customer service, issue resolution, and internal reporting.
Key Responsibilities
Order Processing & Management
- Monitor and manage incoming orders via Shopify in real time
- Verify payment statuses and flag any suspicious or duplicate orders
- Maintain accurate records of orders and communications
Order Allocation & Store Coordination
- Allocate each order to the appropriate store based on location and inventory
- Share order details with store teams via WhatsApp, including full delivery instructions
- Log and track order allocation using Google Sheets or internal dashboards
Customer Communication
- Notify customers when their orders have been dispatched
- Use standardized messaging templates to ensure consistency and professionalism
- Respond to basic queries or escalate as needed
Delivery & Dispatch Oversight
- Coordinate with store teams to monitor order dispatch times
- Log dispatch and delivery statuses for each order
- Proactively resolve or escalate delivery delays
Issue Management & Reporting
- Handle customer complaints, refund requests, and delivery issues
- Escalate complex concerns to the Online Sales Manager
- Submit end-of-shift reports covering:
- Orders processed
- Delivery issues
- Escalations or complaints
- Operational anomalies

This is a shift-based role which includes Sunday coverage. Staff are scheduled for 5 working days per week.

Skills & Competencies Required
- Strong written and verbal communication skills
- Ability to multitask and manage multiple platforms simultaneously
- High attention to detail and order accuracy
- Proficiency in using Shopify, WhatsApp, Google Sheets, and email
- Excellent time management and problem-solving skills
- Ability to remain calm under pressure and respond quickly in a high-volume setting
Minimum Requirements
- Matric certificate
- 1–2 years’ experience in e-commerce, customer service, dispatch, or similar roles
- Proficiency in English (multilingual candidates welcomed)
- Knowledge of cannabis retail or other regulated product environments is a plus
- Willingness to work weekends, public holidays, and peak periods on rotation
