Liaise with internal and external stakeholders on behalf of Group Managers to ensure smooth communication and execution of tasks.
Manage calendars for designated managers, including scheduling meetings, managing appointments, and resolving conflicts proactively.
Monitor and manage correspondence, screen phone calls and emails and respond or redirect as appropriate.
Coordinate comprehensive travel arrangements (domestic and international), including flights, accommodations, visas, and detailed itineraries.
Assist with planning, coordination and execution of conferences, workshops and team events.
Draft, proofread, format, and distribute professional documents such as reports, presentations, and business correspondence.
Prepare and distribute meeting materials including agendas, meeting minutes, and action item trackers for internal and external stakeholder meetings.
Support day-to-day administrative functions such as processing expense claims, submitting procurement requests, and accurate data entry.
Provide front office and reception support as needed, ensuring a professional and welcoming environment.
Maintain a high level of discretion and professionalism when handling sensitive or confidential information.
Perform additional administrative tasks and special projects as delegated by the Senior Executive Assistant.
Grade 12 or equivalent NQF Level 4 Qualification.
Proven experience as a Personal Assistant or Executive Assistant, preferably supporting multiple stakeholders. Preferably 5-10 ears previous experience in a secretarial position.
Post graduate relevant qualification is an advantage.
Advanced computer literacy (Microsoft Office Suite).
Experience in a corporate, fast-paced, or group-function environment.
Strong organizational and time management skills with the ability to prioritize effectively.
