The Senior Travel Consultant is accountable to the Executive Manager Corporate Services of the Coega Development Corporation (CDC).
The Senior Travel Consultant is mandated by the Executive Manager Corporate Services to take responsibility for the coordination and provision of travel management services of the Coega Corporate Travel under the specific direction of the Executive Manager and as outlined in Clause 3.0.
RESPONSIBILITIES AND OBLIGATIONS
The primary objective of the Senior Travel Consultant is to ensure proper co-ordination and provision of the travel management services by the Coega Corporate Travel (CCT). This includes services to internal and external clients. In pursuance of this primary objective the Senior Travel Consultant is required to:
Travel Management Systems
- Determine travel systems requirements;
- Develop and maintain a travel management system to ensure efficient travel and cost management;
- Maintain proper licensing of travel systems;
- Develop and maintain travel policy and procedures;
Travel Bookings/Services
- Co-ordinate the travel activities which include flight bookings, hotel accommodation and car rentals;
- Procure the necessary documentation such as passports, visas and or other clearances;
- Provide support to travel clients;
- Report to EXMA and staff on travel activities, improvements and opportunities;
- Keep accurate records of travel activities;
- Maintain a good customer service to all CCT clients;
- Negotiate rates with agents on car rentals, accommodation and air travel;
- Negotiate service levels with service providers;
- Oversee all BSP - IATA activities.
- Co-ordinate administrative support services;
Marketing and Promotions
- Prepare travel information for marketing and promotion purposes;
- Promote CCT services to internal and external clients;
- Market CCT products and services to secure clients;
- Liaise with travel agencies and other key partners, airlines and vehicle rentals.
Management of the Travel Office
- Planning and Budgeting for the Office
- Internal day-to-day running of the Office
- Procurement of office equipment
- Cost analysis and management
- Team leadership and development
- Prepare Travel Office reports
Furthermore, you are to ensure that:
- You are aware of and have access to the CDC’s SHEMS;
- You are aware of your responsibilities and duties as laid out in the CDC’s SHEMS;
- You are aware that you work in a safe and environmentally friendly manner;
- You ensure that the company’s housekeeping standards are maintained throughout your area of responsibility;
- You report any unsafe conditions or acts which you cannot rectify yourself to your SHE representative or to the Senior SHE Project Manager as soon as possible;
- You report all SHE incidents which occur within your area of responsibility promptly and in the correct format;
- You are totally familiar with your responsibilities in terms of the CDC’s emergency plan;
- You communicate to the Senior SHE Project Manager any required changes to the SHEMS prior to implementing these changes;
- You timeously complete and correctly record any corrective action which needs to be taken in order to rectify a SHE matter;
- You give full co-operation to, and participate in (as required), the CDC’s internal and external SHEMS audits.
You have the authority to:
- Immediately stop any person(s) on CDC property from committing an unsafe or destructive act or omission;
- Take whatever immediate steps you deem necessary to prevent injury or environmental damage when confronted with an unsafe or destructive condition.
COMPETENCIES AND REQUIREMENTS
- Relevant Degree/ Diploma;
- 3-5 years’ experience in Travel Management services;
- Knowledge of travel systems including Galileo and/or Amadeus, Quicktrav, IATA BSP
- Experience with government business travels;
- Excellent people skills;
- Excellent customer service;
- Ability to work under pressure.
PERFORMANCE INDICATORS
- Performance is monitored through the balanced scorecard.
