This role is focused exclusively on administrative duties including documentation control, meeting coordination, reporting support, schedule tracking, and communication assistance. The role ensures efficient administrative operations that enable service delivery teams to operate effectively across various environments.
Key Responsibilities
· Documentation & Records Management
o Maintain and update internal documentation including SOPs, registers, meeting notes, and service logs.
o Control versioning and structured filing of reports, manuals, and client-facing deliverables.
o Track and store escalation records, change logs, and compliance-related documentation.
· Meeting & Diary Coordination
o Schedule and coordinate internal and external meetings.
o Prepare meeting packs, agendas, take minutes, and track follow-up actions.
o Maintain an accurate calendar of reviews, reporting dates, and planning cycles.
· Reporting Administration
o Assist in collecting, formatting, and consolidating data for service delivery reports.
o Proofread and standardise internal and external documents before submission.
o Support generation of monthly dashboards, compliance logs, and service summaries.
· General Administrative Support
o Serve as a central contact for document requests, reporting updates, and internal coordination.
o Assist with general office administration duties relevant to the service management function.
o Maintain confidentiality and ensure accuracy in all administrative outputs.
Required Skills & Experience
· 2+ years of experience in an administrative or coordination role within a business environment.
· Excellent written and verbal communication skills.
· Strong organisational and time management abilities.
· High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
· Comfortable working with data, templates, and structured documentation.
Desirable Qualifications
· Qualification in Office Administration, Business Support, or equivalent.
· Experience in a service delivery or ITSM support environment.
· Exposure to managed services operations or support environments is advantageous.
