Tender Administrator with Procurement Duties – Clothing Industry
Role Overview:
A growing clothing manufacturing company is seeking a Tender Administrator with Procurement responsibilities to manage the end-to-end tendering process and assist in the procurement of materials, trims, and services. The ideal candidate will have experience in the clothing, textile, or garment manufacturing sector and a good understanding of sourcing within this fast-paced environment.
Key Responsibilities:Tender Administration (Clothing/Uniform Supply):
- Monitor tender portals for relevant garment/clothing industry opportunities.
- Prepare and compile tender submissions, including costing, company compliance documents, samples, and technical specs.
- Coordinate with Production, Merchandising, and Finance teams to gather required inputs for tenders.
- Ensure accurate and timely submission of tender documents according to deadlines.
- Maintain a detailed tender tracker with outcomes, win/loss analysis, and upcoming opportunities.
Procurement (Clothing Manufacturing Materials):
- Source fabrics, trims, packaging materials, and accessories based on production requirements.
- Maintain strong supplier relationships to ensure quality and price competitiveness.
- Request and evaluate quotations, negotiate prices and terms.
- Issue purchase orders and monitor delivery timelines.
- Work closely with the Production team to forecast material needs.
- Monitor stock levels of raw materials and initiate timely reorders.
- Assist with maintaining a procurement and supplier database for clothing-specific materials.
Requirements:
- Grade 12 (Matric)
- Diploma or Certificate in Procurement, Fashion Production, Supply Chain, or related field is an advantage
- Minimum 2 years’ experience in a clothing or textile manufacturing environment
- Experience in tender preparation, preferably in public sector clothing supply tenders (e.g., school uniforms, corporate wear, hospital wear)
- Excellent MS Office skills (Excel, Word, Outlook); experience with procurement/tender platforms an advantage
- Strong written communication skills and numerical accuracy
- Good understanding of garment production timelines and materials
