PURPOSE OF POSITION:
As an Inventory Controller/Driver, your purpose is to assume a dual role that combines the efficient management of our inventory with the safe and timely transportation of goods.
Your responsibilities are instrumental in ensuring that our inventory is accurately accounted for, efficiently handled, and reliably delivered to its intended destinations.
KEY RESPONSIBILITIES:
Inventory Control:
- Monitor inventory levels regularly to ensure sufficient stock levels are available to meet incoming demand by forecasting demand accurately.
- Maintain an accurate inventory database, tracking all IT equipment, parts, and supplies, including serial numbers, quantities, and locations.
- Perform internal/external order processing and problem investigation to ensure timely and accurate resolution.
- Receive, inspect, and verify incoming shipments for accuracy and completeness and report any discrepancies to the procurement team.
- Conduct regular physical inventory audits to reconcile database records with physical stock and address any discrepancies identified.
- Maintain effective and efficient stock control by following Supply Chain management processes and procedures and meeting Operation-level agreement (OLA) requirements.
- Conduct bi-weekly cycle counts and twice annual stock counts.
- Organise and store inventory items in a systematic and secure manner to prevent damage, loss, or theft.
- Report any discrepancies or issues with inventory to the Team Lead.
Delivery:
- Check that all equipment leaving the office has an invoice to ensure accurate record-keeping and accountability.
- Dispatch equipment to vendors, suppliers, customers and internal staff utilizing the delivery management system
- Safely operate company vehicles to transport inventory to various locations to ensure the integrity of goods during transit.
- Plan and optimize delivery routes to minimize time and fuel consumption.
- Complete all required documentation for deliveries, including delivery receipts, signed PODs, and any special instructions.
Team Collaboration:
- Collaborate with the Procurement team to meet customer delivery deadlines.
- Collaborate with Delivery teams to ensure hardware is delivered as per customer instructions.
Record Keeping:
- Maintain detailed records of deliveries, including delivery documentation, recipient details, and any issues encountered.
- Ensure all inventory transactions are accurately recorded in the inventory management system.
- Store client documentation (i.e. Invoices) under relevant client folders in the document management platform.
- Prepare and submit regular inventory reports to management.
Vehicle Maintenance:
- Perform regular vehicle inspections to ensure they are in good working condition.
- Report any vehicle issues or required maintenance to the appropriate personnel.
- Ensure vehicles are clean and presentable at all times.
- Perform annual vehicle registrations
Customer Service:
- Provide excellent customer service during deliveries, addressing any customer concerns or questions.
- Communicate effectively with customers to confirm delivery details and resolve any issues.
- Represent the company professionally during all interactions with customers and the public.
- Always maintains a professional demeanor in all interactions.
Compliance and Safety:
- Adhere to all company policies and procedures, including safety guidelines.
- Ensure compliance with all relevant transportation and inventory management regulations.
- Participate in safety training sessions and contribute to a safe working environment.

KEY REQUIREMENTS:
Essential:
- 3+ years of experience in a similar role
- Matric
- Code B Valid Driver’s license with a clean driving record
- Familiarity with IT equipment and terminologies
- Flexibility to work outside of regular business hours when necessary
- Willingness and aspiration to grow within the IT industry
