About the Role
We’re hiring an Executive Assistant to support the Founder & Creative Director of a celebrity haircare and accessories brand. This is a unique opportunity to work behind the scenes with high-profile clientele and one of the most respected creative leaders in the beauty and entertainment world.
The role requires someone highly organized, proactive, and comfortable navigating both personal and professional workflows in a fast-paced creative environment. You’ll manage the details that keep everything running smoothly — from studio schedules to client communication — while acting as a trusted gatekeeper for the Founder.
What You’ll Do
- Manage complex calendars across multiple time zones (LA, NYC, CPT), including fittings, bookings, production calls, and travel schedules
- Act as the first line of communication for the Founder — managing emails, WhatsApps, and calls; drafting correspondence; and maintaining a communications tracker
- Liaise with celebrity clients, stylists, studios, and vendors to coordinate consultations, fittings, and on-set support, ensuring every detail is delivered flawlessly
- Support operational tasks including billing, Airtable/Notion updates, vendor management, and onboarding/offboarding of partners
- Prioritize urgent vs. non-urgent communications, ensure follow-ups are actioned, and safeguard against inflated timelines or costs
- Provide both professional and personal support to enable the Founder to focus on creative and strategic priorities
What We’re Looking For
- 3–5+ years of experience as an Executive Assistant, Personal Assistant, or Operations Coordinator
- Proven track record supporting senior executives, founders, or high-profile/celebrity clients
- Excellent written and verbal communication skills with a polished, professional style
- High proficiency in Google Workspace, Airtable, Slack, and project management tools
- Comfortable managing cross-time-zone schedules and global workflows
- Strong interpersonal skills for high-touch client and partner liaison
- Proactive problem-solver who anticipates needs and ensures follow-through
- Preferred: background in creative industries (fashion, beauty, film, luxury, or entertainment)
