Title: Office Manager
Location: Remote - South Africa
Start Date: Immediately (Part-time, with potential to transition to full-time)
The Office Manager ensures smooth daily operations and fosters a patient-first, professional environment. Reporting to the CEO and Managing Director, this role involves hands-on leadership across billing, admin, scheduling, credentialing, outreach, and staff support.
Compensation:
$8 hourly
Responsibilities:- Manage and triage EOB emails promptly
- Liaise across billing, outreach, interns, and other administrative teams
- Oversee scheduling, billing/credentialing, intake, and staff support
- Ensure all emails are addressed and answered quickly (internal and external)
- Oversee and maintain medical records, ensuring proper handling, storage, confidentiality, and compliance
- Support Network Development & Community Outreach efforts
- Provide feedback on internal communications and process improvements
- Assist with office and billing staff performance reviews, discrepancies, and coaching
- Participate in regular meetings with the Managing Director and CEO; contribute to company-wide meetings
- Maintain HIPAA and clinic compliance standards
- Implement and maintain office policies and procedures
- Track deadlines, commitments, and KPI/scorecard metrics
- Handle confidential information with discretion
- Assist HR with onboarding paperwork, offboarding paperwork, and time tracking compliance
- Perform additional duties as assigned
- Minimum 2–4 years in medical office management, preferably in a mental healthcare setting
- Strong leadership and staff management capabilities
- Excellent organizational and communication skills (proficiency in English with oral and written communication)
- Knowledgeable in HIPAA or similar patient-privacy regulations
- Proficient with clinic systems, billing, credentialing, and KPI tracking
- Patient-focused with a calm, collaborative leadership style
- Fluent, professional-level English and excellent writing/grammar
- Autonomous, able to take initiative with minimal hand-holding
- Availability during U.S. morning hours for ongoing support and coordination
