Purpose of the Role:
To provide comprehensive administrative support, ensuring the effective, compliant, and professional functioning of the branch, its teams and associated projects.
Key Responsibilities:
Office Administration
Handle general correspondence, filing, and credit application
Maintain office supplies, equipment, and premises
Client Liaison & Communication
Answer calls and emails professionally
Follow up on quotations, orders, and client queries
Job Coordination
Update job lists and schedules
Track team movements and job progress
Submit daily and weekly job-related reports
Invoicing & Cost Tracking
Submit project invoicing, job costing, and financial breakdowns
Track overtime and material usage
Financial Administration
Compile petty cash and petrol slips
Submit salary and attendance data for payroll
Facilities & Tenant Coordination
Oversee maintenance of premises and handle tenant concerns
Assist with tenant sourcing and communication
Health, Safety & Environmental Compliance
Maintain safety documentation and contractor files
Support compliance and attend safety meetings

- Strong administrative and coordination skills
- Excellent communication and interpersonal abilities
- Detail-oriented with a proactive mindset
- Experience in invoicing, cost tracking, and job scheduling (preferred)
- Familiarity with safety compliance and reporting will be an advantage
