About the Role:
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support a fast-paced business owner who manages multiple ventures. The ideal candidate is a natural driver—someone who takes initiative, thrives in a dynamic environment, and ensures nothing falls through the cracks. This role requires someone who can be trusted to manage both professional and personal responsibilities with the utmost discretion and efficiency.
Key Responsibilities:
- Serve as a gatekeeper and right-hand support to the business owner, managing scheduling, priorities, and communications
- Coordinate and manage calendars, meetings, travel arrangements, and events
- Handle a variety of personal errands and confidential tasks with integrity and professionalism
- Ensure projects and deadlines are completed on time by following up, tracking progress, and taking ownership
- Draft, review, and manage emails, documents, and reports
- Handle certain professional tasks such as short-listing resumes and potential hires, managing a CRM, and other professional tasks alike
- Proactively identify ways to make the business owner’s day-to-day life more streamlined and efficient
- Organize and maintain digital and physical files
- Liaise with team members, vendors, and other stakeholders on behalf of the business owner
Ideal Candidate Qualities:
- Exceptionally organized and detail-oriented—you notice what others miss
- Strong communicator with excellent written and verbal skills
- Self-starter who takes initiative and doesn’t need to be micromanaged
- Can juggle multiple tasks while staying focused and calm under pressure
- Highly trustworthy with the ability to handle sensitive personal and business information
- Tech-savvy and comfortable with modern productivity tools (Google Workspace, Slack, Asana, etc.)
- Has a "get it done" mindset and regularly goes the extra mile
Requirements:
- 3+ years in an executive support or similar role preferred
- Strong references that speak to your reliability, discretion, and proactive nature
- Availability during business hours with flexibility to respond to time-sensitive matters
- Must have a valid driver’s license (if personal errands or travel coordination is required)
