AVAILABLE VACANCY DESCRIPTION:
1. GENERAL RECEPTION DUTIES:
- Assisting all customer in a friendly and helpful manner.
- Answering telephones and responding to emails promptly and as required.
- Assistance Management where needed with typing of letters and making general queries.
- Taking payments and handing money to finance staff for approval.
- Ensuring/checking that the curtesy vehicles are clean at all times, filled up with fuel for the day and keeping a record on the log sheets supplied.
2. GENERAL ADMINISTRATIVE DUTIES:
- Requesting quotations on parts.
- Compiling customer quotes on Pastel and reviewing them with the Technicians.
- Liaising between Technicians and customers throughout the day as required, keeping the customers informed about the progress of their vehicle’s service/repair.
- Obtain signed authorization from required line manager, prior to submitting quotation to customer.
- Keeping record of all parts requested Technicians.
- Compiling Purchase Order on Pastel and sending them to suppliers as needed.
- Ensuring suppliers have received the PO’s for part orders and following up on the expected time of delivery.
- Keeping Technicians informed of the expected time of delivery of parts ordered, provide feedback.
- Verifying selling prices of parts.
- Liaising with Technicians about part prices, orders, parts arrival.
- Liaising with Customers about part prices, parts arrival.
- Following up on the prepared quotations sent to customers.
- Always keeping an updated list of customer service records.
- Follow up with customers due for a service at the start of each month.
3. SERVICE ADVISOR DUTIES:
- Booking of workshop with the help of the Technicians.
- Following up with customers prior to bookings.
- Preparing customer job cards.
- Welcoming and checking in customers.
- Welcoming and checking in customers’ vehicles with Technicians.
- Checking out- and in of the loan vehicle when required, following the proper procedures in place.
- Ensuring that the customer vehicles are properly cleaned before collection and notifying customer that they can collect their vehicles.
- Welcoming and helping client upon collection of their vehicles.
- Ensuring payment has been made before any customer vehicle is removed from the premises.
- Follow up with customers after any work has been done on their vehicles to ensure customer satisfaction.
4. ADMINISTRATION:
- Capturing of accounting data onto Pastel.
- Capturing supplier invoices daily as they arrive – Stock & Non-Stock Invoices.
- Checking details of supplier invoices before sending it through for payment to Accountant
- Reconciliation and payment preparation of all creditor accounts
- Recon Pastel to their summary;
- Showing invoices not received by Company yet with reason why, before payment is requested.
- Ordering of stock.
- Summary of Petty Cash Payments & Receipts to be sent on a Friday to the Accountant for payment:
- Taking Payment with Yoco POS:
- Checking in- and loading of stock onto Pastel.
- Ensure attendance register is up to date and submitted to HR for Payroll.
- Obtain all outstanding leave forms and submit to HR.
5. CLEANING:
- Ensuring that the reception area is clean and neat all the time.
- Milk & Sugar to be packed away in the kitchen in the afternoons.
- Water filled to be checked/cleaned as needed.
6. GENERAL:
- Assist with moving customer vehicles in- and out of the workshop as needed.
- Quick drop-offs and collections of vehicles and other errands as needed an requested.
