The above vacancy exits at a manufacturing company based in Pinetown.
The successful incumbent will be responsible for provide an efficient data processing and administration service in order to ensure accurate payroll records of employees as well as to contribute to the timeous and accurate processing of payroll in compliance with government regulations.
Duties:-
Payroll
1.1. Gather and process data for weekly payroll (which includes timesheets, leave forms, new appointments, transfers, terminations, overtime etc.)
1.2. Administration of compensation and benefits (sick pay, provident fund)
1.3. Calculating payable hours, bonuses, taxes, and deductions.
1.4. Processing new employees, promotions, and terminations including supporting documents
1.5. Update and maintain internal database with employee, casuals and contractor information
1.6. Investigating and resolving payroll discrepancies and queries (which includes leave and wages administration queries etc.)
1.7. Assist with monthly balancing of Wages reconciliations and reports
1.8. Managing special situations like maternity or sickness pay
1.9. Maintaining all Weekly Wages payroll operations according to company policies and procedures
1.10. Manage staff attendance records and absenteeism monitoring system. (Wages and Salaried Staff)
1.11. Assist with maintenance of personnel files system and records for Wages Staff
1.12. Manage and maintain electronic employees’ databases / Staff Lists
1.13. Issue payslips to employees / HOD’s.
1.14. Preparing periodic payroll reports.
Time, Attendence, Clockings
2.1. Keep up to date clocking times
2.2. Enroll new employees on biometric clocking system
2.3. Maintain shift parameters
2.4. Amend employee shift patterns
2.5. Capture irregular clocking times
2.6. Meet daily with supervisors to verify clocking times of staff – Supervisors to sign off overtime daily
2.7. Report and trend late and absent employees to Department Heads and MD
2.8. Update final clocking reports after Department Manager authorisation
2.9. Export final clocking times into the payroll
Administration
3.1. Provides weekly & monthly wage and overtime actual Reports to department heads and MD.
3.2. Compensation reports, wages reports, paid time off reports, overtime compensation reports
3.3. Turnover and retention reports - who is leaving and why
3.4. Attendance and absence reports - how much absence is taking place, when it is taking place, and what is causing it.
3.5. Head count report – current employee count
3.6. Time attendance report
3.7. Employee information reports
3.8. Leave reports and attendance register
Minimum Requirements:-
- Grade 12 (Matric)
- Proficient in payroll software
- High level of computer literacy (Excel, MS word, Power Point, Accsys)
- Minimum of 3 years in payroll administration
Skills & Knowledge
· Accurate data entry skills with great attention to detail
· Excellent communication skills, both verbal and written, to communicate with employees and supervisors regarding their issues and concerns
· Strong math and numeracy skills
· Solid knowledge of payroll principles, processes and procedures
· Solid knowledge of employee BCEA and Labour law regarding Leave and working hours
· Detailed knowledge of statutory requirements i.e. PAYE, UIF, SDL, COIDA
· Ability to multitask in a stressful environment with specific deadlines
· Ability to work independently in a time-sensitive environment
· Confidentiality and respect for the privacy of employee records
· Ability to devise and implement best practise processes, systems & documentation and daily management to ensure compliance/fully functional & operating at all times
· Good time management skills
· Ability to establish and maintain effective working relationship
· Ensure department is fully compliant with BRC requirements
