Roles & Responsibilities:
- Represent the company in all forms of communication, maintaining good working relationships and networks with internal and external stakeholders, external suppliers, and clients.
- Respond to and follow up on all enquiries by email, telephone and personal visits as required.
- Responsibility for building and maintaining positive relationships with internal and external stakeholders
- Demonstrate a strong customer service focus and quality communication and output in all interactions with key stakeholders and external contacts
- Responsible for general administration tasks
- Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, quotations, and presentations.
- Coordinating and managing appointments & meetings,
- Assist with presentations and progress reports.
- Prepare Minutes of meetings with Clients, Professionals, and contractors + Follow up actions.
- Organising and preparing for meetings
- Transcribing notes and dictations
- Planning and scheduling meetings and appointments
- Writing reports, executive summaries
- Ensuring Efficient Document Management (proper file record on projects)
- Arrange domestic and international travel itineraries, including flights, accommodations, and transportation.
- Prepare travel documents, visas, and necessary paperwork.
- Track and manage travel-related payments
Minimum Requirements:
- National Certificate NQF Level 4 / Grade 12
- Relevant University Degree/Diploma NQF Level 5 (Advantageous )
- Expert skills on MS Office
