Key Duties & Responsibilities:


Your main responsibilities will be (but not limited to) to ensure that the following administrative duties are executed:


  • Reviewing the information on confirmation/ contracts to ensure that is 100% accurate and matches the master sheets/Lemax.
  • Picking up on any errors and highlighting them to the Contract Managers – effectively providing a safety net to ensure no room for error.
  • Capturing the data from the terms and conditions of the contracts into Lemax.
  • Liaising with Suppliers to ensure that relevant documentation is signed and received and that legal compliance is followed.
  • Ensuring that Contract Managers are notifying suppliers of accommodation cancellations and amendments.
  • Updating and maintaining our systems and spreadsheets in real-time to ensure they are always up to date.
  • Supporting the Contract Managers to ensure that the negotiation processes reach a successful conclusion.
  • Be the champions on the (itinerary) information on the master sheets and Lemax.
  • Assisting with ad hoc administration within the Procurement team.

Qualifications & Experience


  • Matric
  • One or more years of administrative experience.
  • Excellent command of English – written and spoken
  • Google Suite
  • Strong knowledge of Spreadsheets
