Job Overview
We are looking for a detail-orientated and proactive Administrative Support professional to assist our Systems Analyst Team with coordination, documentation, and general administrative tasks. This role is critical in ensuring the smooth operation of system-related processes, stakeholder communication, and internal reporting.
Key Responsibilities
- Provide administrative support to the Systems Analyst Team, including meeting coordination, agenda preparation, and follow-up actions.
- Maintain and update system documentation, user manuals, and project tracking logs.
- Assist with capturing and monitoring support tickets, task lists, and project milestones.
- Coordinate communication between analysts, developers, internal teams, and external stakeholders.
- Prepare reports, presentations, and status updates on ongoing system projects and enhancements.
- Monitor deadlines and ensure timely follow-up on assigned tasks.
- Assist in basic data analysis, reporting, and system user access management where applicable.
- Manage and organise shared folders, documentation libraries, and project files.
- Support the team with administrative tasks such as scheduling, travel coordination (if applicable), and procurement of tools or licenses.
Key Requirements
- Previous experience in an administrative support or project coordination role, preferably within an IT or systems environment.
- Strong organisational and time management skills with the ability to multitask.
- Excellent written and verbal communication skills.
- Proficiency in MS Office (Excel, Word, Outlook).
- High attention to detail and ability to work with technical documentation.
- Ability to maintain confidentiality and handle sensitive information.
Preferred Qualifications
- Grade 12 (Matric) Certificate – essential.
- Familiarity with system support processes, project management methodologies, or IT service management frameworks (e.g., ITIL) will be beneficial.
