We are seeking a highly organised and proactive Secretarial Administrative Assistant with a background in legal administration to join our dynamic team. This role will provide direct support to the Directors and will play a critical role in the smooth day-to-day operation of the executive team. The successful candidate must have excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced creative environment.
Key Responsibilities:
- Provide high-level secretarial and administrative support to the Directors
- Manage and coordinate diaries, meetings, and appointments
- Prepare and draft correspondence, internal memos, and formal communications
- Maintain accurate and organised filing systems (digital and physical)
- Assist in document review, including contracts, NDAs, and agreements (with a legal eye)
- Liaise with legal service providers when necessary
- Follow up on action items, deadlines, and ensure project tasks assigned to Directors are tracked and managed
- Handle sensitive and confidential information with discretion
- Coordinate travel arrangements and logistics when required
- Support office-wide systems and procedures as needed
Requirements:
- Minimum 3–5 years' experience in a similar administrative or executive assistant role
- Relevant qualification in administration, paralegal studies, or legal secretarial work is advantageous
- Strong understanding of legal documentation and processes
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and digital filing systems
- Excellent organisational and time-management skills
- Strong verbal and written communication skills
- Ability to work independently and take initiative
- High level of discretion, integrity, and professionalism
- have valid drivers licence
