Job Title: Bodyshop Production Administrator
Location: Gqeberha
Job Summary
This role involves supporting the Bodyshop department head and production line supervisors in scheduling and managing production activities. Responsibilities include collecting, summarizing & reporting production data, coordinating production-related business lines, managing the tool room, overseeing consumables & auxiliary materials and addressing production bottlenecks.
KEY DUTIES AND RESPONSIBILITIES:
· Responsible for obtaining the Production Schedule. Ensure that the Production Team Members are aware of the target, tasks, and deadlines. Proactively implement measures to resolve scheduling issues on-site.
· Responsible for collecting production data and compiling a Daily Production Report. This includes vehicle tracking at various areas of the plant, i.e.. Vehicles/bodies entering the production line, off-line vehicles, vehicles in the maintenance area, and vehicles delivered to the next process.
· Assist in the coordination & communication between production and support departments.
Responsible for the Tool Room :
· Conduct and implement regular tool inspections as per management regulations.
· Maintain the ledger for tools (verify tool inventory with Process Engineer)
· Collect and Issue tools. Keep an accurate record of all tool movements.
· Oversee calibration according to the plan.
· Conduct a stock take for all tools. Master all kinds of tool models, properties, specifications & application methods
· Maintain the 5S standard of the Tool Room. Clearly label, categorize, and store tools based on type, specification, and model.
Responsible for the Consumable and Auxiliary materials :
· Keep an accurate record of all materials received and issued.
· Check and verify quantities of issuing as per management regulations. Proactively escalate out of norm issuing requests.
· Monitor stock levels and procure accordingly as per the minimum rules.
· Categorize and store materials according to type, specification, considering the warehouse.
· Conditions, ie. MSDS conditional storage requirements.
· Materials and storage must be clearly labelled and demarcated.
· Conduct stock take
· Regularly check records to ensure consistency between physical stock, documentation, and labels
· Maintain and update department documentation.
· Responsible for the department’s administration ie. Sick note submissions to HR, leave applications (update the Leave calendar and submissions).
EDUCATION AND EXPERIENCE:
· Matric/ Grade 12
· National Diploma in Production Management, Business Administration, Operations Management or a related field is preferred
· 2-3 years of Administration experience
· Code 8 driver’s license
COMPETENCIES:
· Computer literacy (MS Office, Excel Graphs, PowerPoint)
· Well-developed communication skills (both verbal and written)
· Stock Take experience
· Assertive and deadline-driven
· Ability to work under pressure and manage varying areas of responsibilities
· Strong negotiation, analytical, and problem-solving skills
