Key responsibilities:
- All administration related to the procurement process and general departmental needs:
- Monitoring stock levels of raw materials and trims (CMT and warehouse)
- Placing orders with local and international suppliers and ensuring PO’s are raised
- Following up on payments to suppliers
- Responding to supplier queries
- Assist with managing on-time delivery by following-up on all samples and orders
- Researching and sourcing new suppliers and service providers
- General administration
- To provide general merchandising assistance with:
- Updating planograms
- Preparation for all merchandise related activities that require product to be pulled, sorted, ordered and hung – for example labelling, arranging and organising sample rails.
- Preparation of discussion documents – PowerPoint and Excel essential
- Assisting with the compilation of allocations and distribution of stock to stores, printing barcodes
- Creating product knowledge sheets
- Preparation of Styles ahead of production
- Create BOM’s for every style
- Sourcing and procuring trims and artwork prior to the style going into production
- Requesting stock codes
- Preparation of cut sheets
- Ensuring stock is adjusted onto the system prior to dispatch
- Ensuring Costs and RSP’s are updated on the system prior to dispatch
- Recording and maintaining the paperwork related to the CMT
- Recording and filing all invoice and payments
- Credit card reconciliation (CMT/Diane/Neill)
- Assistance in preparing payroll
- Warehouse administration
- Assist with the co-ordination and preparation of replenishment orders that need to go to stores
- Prepare the transfer orders and paper work required for movement of stock between stores
- Arrange and co- ordinate with the driver to deliver stock to stores
Experience and skills required:
- Previous experience (minimum 2 years) in a similar role or administrative role
- Communicates effectively both within, as well as outside the Company and has strong written skills
- Builds and maintain relationships
- Is proficient in the latest Microsoft packages (Word, Excel, and Outlook)
- Advantageous to have Adobe/ Illustrator experience
- Can prioritise well and work under pressure
- Is proactive, deadline driven and flexible to adapt to change
- Has sound planning, organizing and time management skills
- Is fast and accurate with regards to processing and checking detail
- Is able to be “hands on” and is prepared to work hard
Other requirements:
- Although this is a head office position, on occasion you may be required to work at stores during retail hours, weekends and public holidays.
