We are seeking a motivated and professional Office Administrator / Receptionist to join our team. The successful candidate will be the first point of contact for our organization, providing administrative support across the company. This role involves managing front-desk activities, handling tender documentation, and ensuring the smooth running of the office.
Key Responsibilities:
- Serve as the first point of contact for visitors and clients in a friendly and professional manner
- Answer and route incoming calls, emails, and correspondence
- Provide general administrative support to the office team
- Assist in preparing, organizing, and managing tender documents and submissions
- Maintain accurate filing systems (digital and physical)
- Schedule meetings, manage diaries, and make logistical arrangements
- Order and manage office supplies and equipment
- Ensure the reception area and office are kept tidy and presentable
- Perform other ad-hoc duties as assigned
Minimum Requirements:
- Grade 12 / Matric certificate
- Valid driver’s license
- Minimum 1 year of experience as an Office Administrator or Receptionist
- Proficient in MS Office (Word, Excel, Outlook, etc.)
- Knowledge and experience in tender administration processes
- Excellent verbal and written communication skills
- Ability to work under pressure and meet deadlines
- Self-motivated with the ability to take initiative
- Able to work independently with minimal supervision
- Strong organizational and multitasking skills
- Professional appearance and demeanor
Advantageous:
- Experience in a similar industry ( construction and security services)
- Basic understanding of tender processes
